Privacy Policy
Effective 20 October 2026
Who we are
The 4th International Punjabi Conference (IPC 2026) is organised by Punjabi Parchar and Punjabi Lehar in collaboration with the Punjab Institute of Language, Art & Culture (PILAC). This policy explains how we handle personal data submitted through this website.
For privacy questions or requests, use the contact form. Please do not send identity documents unless we ask for them.
Data we collect
- Registration: name, email address, phone number, country, city, participant category, organisation, designation, an optional photograph, and your consent choice.
- Conference pass: your name, category, organisation or designation, phone number, registration code and photograph are used to create the pass. The pass QR code links to a verification page that shows your name, category, organisation and registration status to conference staff.
- Contact and volunteer forms: the details you enter, such as name, email, phone, city, interests, availability and message.
- Competition applications: the details requested by the competition form, including name, father's name, CNIC, city, institution, phone, email, category and experience. CNIC is collected only for competition administration and identity verification.
- Sponsor and agency expressions of interest:organisation and contact details, proposal information and track record.
- Newsletter: your email address.
- Technical and security data: our hosting and database providers may process IP addresses, browser information and request logs. Rate limiting uses a short-lived in-memory record of your IP address.
How we use it
- To process registrations and issue conference passes.
- To review and administer competition, volunteer, sponsor and agency applications.
- To answer enquiries sent through the contact form.
- To send conference updates to newsletter subscribers.
- To verify a pass at the door and prevent duplicate or fraudulent registrations.
- To secure the website and investigate abuse.
- To meet legal, accounting or event-safety obligations.
We do not sell personal data. We do not currently run advertising, analytics or third-party tracking scripts on this website.
Who we share it with
We use service providers to operate the conference: Supabase for the database and administrator authentication, Hostinger for website hosting, and Google Forms for receiving some form submissions. These providers process data on our behalf and may process it outside Pakistan. Their own privacy policies apply to their services.
The contact page embeds a Google Maps frame. Google may receive your IP address and device information when that frame loads.
We may disclose data if required by law, to protect the safety of participants, or to investigate fraud or security incidents.
Cookies and local storage
The public website does not set advertising or analytics cookies. The administrator area uses essential authentication cookies so authorised staff can sign in. Uploaded photographs and pass pages are served from our own domain.
How long we keep it
We keep conference data for the current conference cycle and a reasonable follow-up period, then delete or anonymise it unless we need it for legal, accounting or security reasons. Competition CNIC data is kept only as long as needed to administer the competition and verify results. Newsletter subscribers can ask us to remove their email at any time using the contact form.
Security
We use access controls, encrypted connections, database row-level security, restricted administrator accounts and image re-encoding to reduce risk. No website can guarantee absolute security. Please avoid sending sensitive documents through the public forms unless the form specifically asks for them.
Your choices
You can ask us to access, correct or delete your personal data, or withdraw consent for future processing. Use the contact form and include enough information for us to locate your registration. We may need to verify your identity before acting on a request.
Children
This website is not directed at children under 13. If a minor is registered, a parent or guardian should provide consent and contact us if they want the data corrected or removed.
Changes to this policy
We may update this policy when the conference arrangements or our service providers change. The effective date at the top of this page will be updated when we do.
